FIELD AND FACILITY USE POLICY

Availability

  • The Field and Facility will be available for use during the following access times:
    • 5:30pm to 11:00pm on days when school is in session.
    • 7:00am to 11:00pm on days when school is not in session.
  • The school will be deemed “in session” for all school and school-related events including adult education, evening and weekend activities.
  • When available and at the sole discretion of Northgate Christian Education Society, the facility will be leased to those groups or individuals whose core values, philosophies and goals are in alignment and harmony with the core values of the Northgate Christian Education Society.
  • There is no kitchen available for use in the Facility.
  • The Northgate Christian Education Society will, from time to time, lease the Facility on a six (6) month renewable contract.
  • Overnight billeting is restricted to the Gym and common areas only.
  • Booking the Field and/or Facility will be prioritized on a “first-come, first-served basis” using the following priority categories:
    1. Phil & Jennie Gaglardi Academy
    2. Northgate Foursquare Church
    3. Field – Town of Comox; Facility - Christian churches (or para-churches) in the Comox Valley
    4. Christian community-at-large (youth ministries)
    5. Christian community-at-large (adult ministries)
    6. General community – youth booking
    7. General community – adult booking
    8. “All” Community events – eg Filberg Festival
  • Groups in categories 3 through 7 may book two (2) sessions at a time and in advance in order to give greater access to various groups.
  • Group 8 will be reviewed on a case-by-case basis and must have School Board approval.

Field and Facility Rules and Regulations

  • All groups must abide by the Field and Facility Rules and Regulations outlined below in order to lease the Facility and continue to have an opportunity to book the Field and/or the Facility in the future.
  • NO ALCOHOL is to be brought onto the school property at any time.
  • NO SMOKING on the school property at any time.
  • Grounds and facilities are to be left clean of debris and user possessions. All garbage must be placed in the refuse bins provided.
  • Damage to Field or Facility (including equipment) will be charged at either repair cost or replacement cost if the item (s) cannot be repaired.
  • There is no storage available.
  • Groups must be “under control” at all times to prevent damage to the field or walls, floors or possession inside the Facility.
  • An open flame is not permitted in any area of the Facility.
  • All groups using the Facility MUST familiarize themselves and their group with the Fire routes and locations of Fire Extinguishers.
  • All groups using the Facility are required to carry their own liability insurance. Proof of coverage must be faxed to the school office in advance of the Facility usage date.
  • All groups are responsible to put rooms inside the Facility back the way they were found.
  • All groups booking the Field and/or Facility are required to pay, in advance, all fees as outlined in the Fee Schedule.

Rental Fee Schedule

* Youth defined as 17 years or under.
* All fees are payable in advance.
* Northgate Christian Education Society may, from time to time, discount rental fees where
   reciprocal relationships exist (ie Theatre Works).

Refundable Deposit Fees

  • Refundable Key Deposit $50
  • Refundable Damage Deposit $250

Non Refundable Fees

  • Booking Fees: as per above schedule above.
  • Security Fee: minimum $75 except category 1 & 2
  • Janitorial Fee:
    • 3:00 pm-7:00 pm, Monday to Friday: $25.00 per hr.
    • After 7:00 pm, Monday to Friday: $50.00 per hr.
    • Weekends & Statutory Holidays: $50 per hr.
